About the Role
Reporting to the Manager, the Client Services Administrator will provide high-level administrative and client service support to the Family Office team.
You’ll play a key role in ensuring smooth day-to-day operations and helping deliver an exceptional experience for our clients.

Key responsibilities include:
  • Preparing agendas and minutes for monthly Family Office meetings
  • Assisting with advisor packs for new clients
  • Maintaining client data in XPlan and other third-party systems
  • Coordinating travel, accommodation, and diary management
  • Supporting client events and hospitality arrangements
  • Drafting correspondence, reports, tenders, and proposals
  • Assisting with billing, applications, and client documentation
  • Preparing for integrated services meetings and handling cash transfers
  • Providing general administrative support as required
 
About You
You’ll bring a strong sense of initiative, professionalism, and attention to detail to everything you do. You’re proactive, approachable, and committed to supporting both clients and colleagues.

To be successful in this role, you will have:
  • Certificate IV in Business Administration (or equivalent experience)
  • Previous experience in a similar administrative or client services role (professional services experience highly regarded)
  • Proficiency with MS Office and financial planning software (XPlan, Coin, Adviser Logic)
  • Excellent written and verbal communication skills
  • Strong organisational and time management skills
A current National Police Check will be required prior to employment.
