Te whiwhinga mahi | The Opportunity

We’re seeking a Personal Assistant to provide one-to-one support to a senior Tier 3 leader who leads a high-profile policy portfolio. You’ll work closely with this leader and their extended team to coordinate ministerial engagements, prepare meeting materials, liaise with key stakeholders, and keep everything running smoothly in a dynamic and fast-paced environment.
 
The role sits within a wider business support group, but you’ll also be embedded in the policy function — providing vital support that helps the leader deliver on government priorities, manage cross-agency relationships, and lead their team effectively.

Ngā kawenga | Key Responsibilities

  • Complex calendar and meeting coordination, including with Ministerial offices
  • Preparation of briefing materials, agendas, and meeting documentation
  • Light drafting of internal communications and team updates
  • Liaising with external stakeholders including government agencies and peak bodies
  • Coordinating workflows, maintaining timelines, and supporting seamless team operations
  • Financial and administrative processing as needed

You’ll bring:
  • Previous experience supporting senior leaders in a public sector or professional services environment
  • Strong organisational skills and ability to manage competing priorities
  • Clear, confident communication and a calm, solutions-focused approach
  • Strong judgement and discretion, with comfort handling sensitive information
  • Confidence using Microsoft Office and collaboration tools (e.g. Teams, SharePoint)
  • An understanding of government processes or formal corporate environments
  • Drafting or formatting experience is a bonus (e.g. preparing clean, final documents for senior sign-out)
This is a role for someone proactive and unflappable — a self-starter who adds value by staying one step ahead.
