This 12-month fixed term opportunity sits within a busy Auckland-based operations function where coordination, structure and sound judgement are critical. Kōrero mō te tūranga | About the Role
This is a pivotal operations coordination role supporting a large team managing multiple concurrent and complex workstreams. Sitting at the intersection of operational administration and project coordination, you’ll ensure meetings run effectively, information is accurately captured, resources are tracked, and documentation is delivered to a high standard. You’ll attend regular operational and resourcing meetings, maintain tracking tools and spreadsheets, coordinate travel, and support business improvement initiatives. 

Ngā kawenga | Key Responsibilities
  • Coordinate operational and resource meetings, including accurate minute taking and prompt distribution
  • Maintain and update resourcing spreadsheets and workflow trackers
  • Track actions, priorities and milestones across multiple workstreams
  • Manage shared inboxes including general and complaint enquiries
  • Coordinate travel and logistics for operational teams
  • Prepare, format and proofread professional documentation
  • Support ad hoc operational and trial preparation requests
  • Contribute to continuous improvement initiatives
  • Build strong working relationships across teams and leadership

  • Circa $80,000 – $90,000 
  • Full-time, Monday to Friday, 37.5 hours per week

  • Experience in operational administration, team coordination or project coordination
  • Strong organisational and time management capability with the ability to manage competing priorities
  • Experience maintaining spreadsheets, tracking workflows or coordinating resources
  • Confident using Microsoft Office and learning new systems quickly
  • Strong written and verbal communication skills
  • Proactive, action-oriented with sound judgement
  • Comfortable working independently while contributing to a collaborative team
  • Tech savvy with a growth mindset and customer-focused approach
  • Experience from public or private sector environments welcomed
