Office / Facilities Co-ordinator

This newly created role requires a strong office co-ordinator to sculpt and develop the responsibilities and make it their own. You will be responsible for the smooth operation of all facilities and office workings for HQ of 200 staff. 

Duties include: 

* Front of house operations including meet and greet clients/visitors, issue visitor passes and contact host 
* Manage the security card system and conduct quarterly audits to maintain a secure environment. 
* Oversee all general office operations and provide tenant representation for both buildings including attending quarterly management meetings with the Landlord to discuss building operations. 
* Manage the day to day running of the office preparing incoming and outgoing mail for head office and organising couriers. 
* Manage contractor site induction process and provide the relevant information to base building security. 
* Carrying out daily checks on all stationery, kitchen equipment and supplies ensuring all items are safely stored and readily accessible and order accordingly 
* Monitor and manage the internal facilities portal for requests across both offices to support the effective operation of the offices. 

What you need to bring to the role: 

* Customer focused to build relationships with clients 
* Interpersonal skills to be able to liaise with a wide range of individuals including clients and visitors to manage their expectations in a professional manner 
* Proactive and responsible 
* Solid background in Office or team or facilities coordination 
proven ability to set priorities for individual work load
